INFORMATION ON PROCESSING OF PERSONAL DATA CONTAINED IN ELECTRONIC CORREPONDENCE

The controller of your data, within the meaning of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation, hereinafter "GDPR") is the Polish National Agency for Academic Exchange (hereinafter "NAWA"), ul. Polna 40, 00-630 Warsaw.

Providing your personal data in electronic correspondence was voluntary, however, thanks to this, it is possible to reply to your message sent to NAWA.

Personal data from e-mail messages will be processed for the purpose of:

  • enabling e-mail contact, based on the consent granted by voluntary action (sending a message), pursuant to art. 6(1)(a) and art. 9(2)(a) of GDPR in the case of sending "sensitive data";
  • settling matters and documenting arrangements with contractors and/or NAWA stakeholders, pursuant to art. 6(1)(b), art. 6(1)(f) and art. 6(1)(c) of GDPR;
  • electronic receipt of letters/notifications/requests (e.g. complaints, other requests);
  • protection and pursuing claims, pursuant to art. 6(1)(f) of GDPR.

The data will be stored until the case in which they were collected is resolved (namely until the purpose for which they were collected ceases to exist), and then for the period specified in the provisions of the Act of 14 July 14 1983 on the National Archival Resource and Archives or, in the case of pursuing a legally justified interest of the controller, for the period specified by the relevant provision of the Act of 23 April 1964 – the Civil Code. In cases of processing your data on the basis of the consent, the controller will store the data no longer than until the moment when the consent is withdrawn;

Data may be disclosed only to public authorities which are allowed to receive personal data as part of specific proceedings provided for by law as well as to entities cooperating with NAWA on the basis of written agreements entrusting personal data processing, in order to perform the tasks and services specified in the agreement for the Controller, in particular in the field of electronic or traditional mail servicing, IT services, debt collection, legal, advisory or administrative services;

You have the right to access your data, the right to rectify it, delete it, limit its processing, the right to transfer data or object to its processing as well as the right to lodge a complaint with the President of the Personal Data Protection Office, if you believe that the processing of your personal data violates the provisions of GDPR. We will implement your request without undue delay, unless the generally applicable provisions of law, in particular GDPR, do not provide for the possibility of exercising the right with regard to the personal data indicated in the request, of which you will be immediately notified.

On the basis of the personal data provided, no decisions will be made automatically, nor will the data be profiled (Article 22 (1) and (4) of GDPR).
